Your first freelance invoice is a milestone. It means someone values your work enough to pay for it. But the process can feel intimidating. This guide covers everything from what to include to how to handle late payments.

Before You Send the First Invoice

Set your rates before you start work. Hourly, project-based, or retainer. Write them down. Tell the client your rate before any work begins. This prevents awkward conversations later.

Decide on payment terms. Net 15 is fair for new relationships. Net 30 is standard. Some freelancers require 50% upfront for projects over $1,000.

What Goes on the Invoice

  • Your legal name or business name
  • Client name and contact
  • Invoice number (start at 001)
  • Dates (invoice date and due date)
  • Description of work completed
  • Amount owed
  • Payment instructions

Setting Up Payment Methods

The easier you are to pay, the faster you get paid. Accept at least two methods:

  • Bank transfer (ACH or wire)
  • PayPal or Stripe

Some clients prefer checks. If you are outside the US, Wise and Payoneer are popular for international transfers.

Sending the Invoice

Send invoices within 48 hours of completing work. Delayed invoicing signals that payment is not urgent. Use a PDF attachment with a clear subject line like “Invoice 003 - Website Design Project.”

Handling Late Payments

Step 1: Send a polite reminder on the due date. Step 2: Follow up again at 7 days past due. Step 3: At 14 days, mention your late fee policy if you have one. Step 4: At 30 days, consider pausing future work until payment clears.
